WWF SWEDEN’S PRIVACY STATEMENT ACCORDING TO GDPR

GENERAL

WWF protects your personal privacy so that you as a supporter, donor and stakeholder always feel safe when submitting personal information to WWF. We are fully transparent with what data we collect and why. This privacy policy explains how WWF collects and uses your personal information. It also describes your rights in relation to us and how you can assert those rights. All processing ofpersonal data within WWF takes place in accordance with applicable personal data legislation. Within the EU / EEA, the Data Protection Regulation (GDPR) applies since 25 May 2018.

 

WHY WE COLLECT PERSONAL DATA

WWF registers the personal data of its donors and stakeholders in order to be able to communicate with them as smoothly as possible through various channels and to be able to maintain a close relationship with each donor and stakeholder according to the donor’s wishes. WWF communicates with its donors and stakeholders through several different channels; websites, social media, WWF’s magazine, specific and general newsletters, fundraising, text messages and phone calls.

 

PERSONAL DATA COLLECTED

You can directly or indirectly give us information about yourself in a number of different ways, for example when you donate a gift, sign up as a sponsor or subscriber to a newsletter, participate in our initiatives for a more sustainable society.

Examples of data collected:

Personal and contact information – name, postal address, telephone number, mobile phone number and e-mail address.

Payment information – credit and debit card data (card number, validity date), invoice information, bank account number, etc.

WWF may update your information from public records if necessary to maintain good record keeping.

HOW DO WE SHARE YOUR DATA

We may share information with companies that process data on behalf of WWF. This is so that we can perform our services, such as analysis, distribution or otherservices that maintain and apply our terms of use and delivery terms. However, high security and confidentiality are always observed in all handling of personal data. Examples of external parties with whom we share information are printing companies, telemarketing agencies and DM agencies. WWF undertakes to have valid personal data assistant agreements with all suppliers who process personal data on behalf of WWF. The information may also be combined with other registers (eg SPAR) to update addresses, obtain information about deceased and avoid duplicates in our register.

ABOUT COOKIES

When you use our website, we store so-called cookies on your computer. This stores information about your use of our website, which pages in our domain are visited and whether you clicked on our website from another website. This is done to improve the user experience for you as a visitor, as well as to adapt targeted communication to you as a visitor to other websites. Information stored can be technical information about your device, browser version and IP address. Cookies do not contain information such as name, social security number or e-mail address.

Despite all of our precautions however, no data transmission over the internet can be guaranteed to be 100% secure. So, whilst we strive to protect your personal information, we cannot guarantee the security of any information which you disclose to us and so wish to draw your attention that you do so at your own risk.

What legal basis do we have?

By submitting personal information to WWF, the information about you and your possible gift is registered, stored and processed for specified purposes. As a legalbasis for the processing of personal data, WWF will refer to the fulfillment of agreements, legitimate interests, legal obligations or consent. In cases where WWF uses legitimate interest as a basis, it will only be done for the purposes set out in this policy. In cases where a legitimate interest is the basis for WWF’s choice to save personal data in a donor register, the conviction is that this is for the most part in the interest of each individual donor. Every donor has the right to transparency of their donation.

 

HOW LONG WE KEEP YOUR DATA

We will only keep your personal information for as long as is necessary for the purpose for which it is collected, which may include the purpose of satisfying any legal, accounting or reporting requirements. If you request that we stop sending you marketing materials we will keep a record of your contact details and the appropriate information to enable us to comply with your request not to be contacted by us.

For sponsors and donors

If your personal information is stored in our donor register, it can be saved up to 36 months from your last communication with us – for example, donated a gift. If we have run a fundraising campaign (via letter, SMS, e-mail or telemarketing) when the donor approaches 36 months, we may save the information for another2 months (38 months) so that the donor can be matched against a possible response to the campaign. Some information may be retained longer due to other legal requirements, such as the Accounting Act. Sometimes WWF uses mailing lists from external sources with addresses of potential donors. After threemonths, this information will be deleted from our database if the donor no longer chooses to make donations.

For stakeholders

Personal data is stored with WWF based on an active stance made by an individual stakeholder by becoming a member of the network or participant in various interest groups.

The personal data is stored in WWF’s CRM register during the time that the network and the interest groups are active in WWF’s long-term sustainability work. 12 months after the network and interest groups have been active and ceased within WWF, your personal data will be deleted from the CRM register.

As a stakeholder, you may can contact WWF at any time to request that we delete you from our register thus avoiding further contact and distribution of material from WWF’s network and interest groups.

 

DELETING PERSONAL DATA

For sponsors and donors

When we anonymise or delete your data, we will ensure that it is no longer identifiable to you. We may keep anonymised data for future analysis on aggregated data so that we can understand our supporters better. This may be for research or statistical purposes, or for any other purpose, and we may use this information indefinitely without further notice to you.

For stakeholders

WWF documents all routines for updating and deleting data in our CRM system toensure that adherence to all standard and requirements regarding our stakeholders.

A continuous screening of stakeholders who have not been active in WWF’s activities for a period of 24 months is carried out. Of course, all stakeholders are welcome to reconnect with WWF and its interest groups and networks at any time.

 

YOUR RIGHTS AND OPTIONS

For sponsors and donors

Under data protection laws you have various rights over your personal data. WWFwill, on its own or at the donor’s initiative, correct information that is found to be incorrect. You can request that we correct the personal data we hold about you. This enables you to have an incomplete or inaccurate data we hold about you corrected.

Once a year you can, free of charge, obtain information about what personal information we have registered about you by requesting an extract from the register from WWF. The request must be in writing, signed by you and sent to us by post (not e-mail or fax). The reason is that the applicant’s identity must be confirmed before information can be disclosed, a signature is mandatory. You willfind our contact information under the heading “Contact us”.

You can always let us know if you would like us to contact you via, for example, physical letters, telephone calls, SMS or e-mail. However, we may contact you with information regarding changed or updated terms, as well as information about agreements.

For stakeholders

As with sponsors and donors, stakeholders may request the correction of information that is incorrect and also request that data be deleted or that its use be restricted.

As a stakeholder, you can also, according to the same principles applied for sponsors and donors, also request extracts from WWF’s CRM system that show which personal data is registered.

 

DATA INSPECTION AUTHORITY

If you believe that your rights have been violated, you are always welcome to contact WWF.

If you believe that we have failed and you have suffered damage due to a violation of your rights under the Data Protection Ordinance and we have not handled this in a correct manner, you can report this to the Data Inspection Authority, which is the supervisory authority. https://www.datainspektionen.se/other-lang/in-english/.
